General

My neighbours dog keeps barking, what should I do?

For good neighbourliness, contact your neighbour to discuss the matter. If the problem persists, contact Security to formalise the complaint.

Tshwane Metropolitan Municipality is our local municipality. They supply water, electricity and look after the sewerage system.

Faulty municipal services such as water leaks and electricity outages should be reported directly to customercare@tshwane.gov.za with your account number & query in the subject line.

Tshwane pinpoints your meter by using your account number and not your stand or street address.

Gardeners and garden services are permitted to work from Monday to Friday, 7:00 – 18:00, Saturdays: 8:00 – 18:00 and Sundays 09:00 – 12:00.

The speed limit is restricted to 25km per hour, throughout the Estate.

Levies must be paid in full and in advance by the 1st day of every month.

No Airbnbs or any form of Guest Houses are allowed in the Estate.

Our Estate is guarded 24/7 the main features include;

  • Visitor access management
  • Armed response and patrols
  • Electric fence and surveillance monitoring
  • A maximum of three (3) pets are allowed but must be registered with the HOA
  • Pets must not be a nuisance or roam freely
  • A play area and multicourt
  • Walking/jogging track
  • Clubhouse

Access

When can I apply for facial biometric access?

Biometric access is done at the HOA office from 7:00 to 16:00, Monday to Friday

For new owners/tenants we require the following:

  • Electronically completed application form via the App.
  • Uploaded proof of identification such as a passport, identity document, or driver’s license.
  • Proof of property registration/lease agreement.


For staff members and or visitors, the following is required:

  • Electronically completed application form by homeowner/tenant via the App.
  • Uploaded proof of identification such as a passport, identity document, or valid work permit.
  • Access is valid for 6 months before renewal is required.

Refuge Removal

When are the refuse bins emptied?

All refuse is collected on Thursdays. Please remember to place your bin on the sidewalk no later than 7:00 on collection days.

To apply for a refuse bin, please complete the refuse removal form and return it to admin@willowacres.co.za

No, the owner of the property needs to complete the form.

Your bin will not be emptied if:

  • Your bin is placed on the sidewalk too late
  • Your household bin is filled with garden refuse
  • The bin is too heavy
  • The bin contains building rubble
  • Refuse was not placed inside plastic bags.
  • You placed more than 6 bags of garden refuse out

Building & Aesthetics

What is the process when submitting building plans?

The completed building plan application, electronic plans, will be submitted to the HOA Office via email admin@willowacres.co.za for the plans to be reviewed/scrutinised.

Once the plans are supported by the Estate Assessor, 3 sets of full colour with accompanying documents are submitted to be tabled for the Aesthetic Committee. If the plans are approved by the Aesthetic Committee, an invoice will be issued and must be paid before the plans can be collected for submission to the Local Municipality.

The HOA office should be provided with a copy of the coloured municipal approved plans before construction may commence.

The assessment checklist is available here and is based on the Estate Rules and By-Laws.

It is a condition of the Local Authority that the HOA’s approval of building plans be obtained before submission to the Local Authority.

Regulations are clear that no construction or installation may commence until full Association and Local Authority approvals have been granted.

No house may be occupied until the final occupation certificate has been issued by the Local Municipality and the Estate inspection has been completed. An occupancy certificate is a requirement.
